In this exciting new role, you will be working together with the Head of Department in providing administration overview for the Dispute Resolution Department. This will include providing guidance to support staff members and overseeing the administration function to ensure that all administrative processes and procedures are followed.
Responsibilities:
- Preparation of agenda, minutes and data for departmental meetings.
- Diary management and scheduling for HOD.
- Admin assistance with processing complaints.
- Preparing WIP sheets
- Gathering all Fee Earner’s updated billing information in preparation for the billing cycle and provide updates on billings to HOD
- Liaising with Accounts in respect of all data, to include forecasts and billings
- To carry out Fee Earner administration meetings and feedback to HOD.
- Lead departmental business development meetings on a monthly basis and feedback to HOD and Business Relationships Manager.
- Ensure BD plan is progressed including scheduling meetings & due dates for follow-up
- Working with all support staff to ensure that files are being actively closed and archived.
- Assist the HOD in implementing department-wide projects and initiatives.
- Conduct audits of information held on internal systems.
- Identify and suggest areas for improvement, such as efficiencies to be made to existing processes.
- Provide general administrative support for the HOD and Dispute Resolution team where required.
The ideal candidate will be a strong team player with exceptional attention to detail. They should demonstrate effective organisational skills, the ability to work independently, and a proactive approach to tasks. Previous experience in a similar role is highly desirable. You will be required to have a full and thorough understanding of department processes and identify improvements to eradicate inefficiencies.
